Stndby is designed to support live-event crews while respecting the confidentiality of event documents and users' privacy. This policy explains what information Stndby collects, how it is used, and how it is protected.
Stndby Data Trust
Stndby was built for freelancers and production teams who often work across competing companies.
For that reason, the platform is designed to:

limit visibility across events
protect sensitive production information

Information We Collect
When users create a Stndby account, we may collect the following information:
Name
Phone number
Email address
Company name (optional)
Home base or location (optional)
Profile photo (optional)
Other facts (optional)
Phone numbers may be used to send event-related SMS notifications after user consent is provided.
Event Participation Data
Stndby stores information related to events a user participates in, including:
Events a user has worked on
Roles held on those events
Crew members who worked on the same event
This information helps maintain a historical record of event participation.
SMS Communications
Stndby uses SMS messages to support event-related communication.
Users may receive SMS messages after creating an account and providing consent during signup. These messages are limited to operational notifications related to events a user is participating in, such as being added to a show.
Message frequency is limited, typically one message per show.
Users can opt out of SMS messages at any time by replying STOP. Standard message and data rates may apply.
Visibility of User Information
Stndby is designed to limit visibility of user information across the platform.
Users cannot search the entire platform to find other users.
A user can only see information about people who are participating in the same event.
Within an event, users may see:
Name
Phone number
Role on that event
Optional profile fields that a user chooses to share
Email addresses are never visible to other users.
Event Documents
Stndby allows event organizers to upload production documents such as crew letters, schedules, and other event materials.
These documents are used by the system to answer questions and provide information during the event.
Event documents are not monitored or reviewed by Stndby personnel as part of normal operations.
In limited circumstances, authorized personnel may access data when necessary for:
technical troubleshooting
system maintenance
security
improving system performance
AI Processing
Stndby uses artificial intelligence to answer questions about event documents and information.
To provide this functionality, event documents and related information may be processed by third-party AI service providers.
These providers process data on behalf of Stndby to generate responses. They do not gain ownership of event documents.
Stndby may retain interaction data in order to improve system performance. Where possible, this data may be de-identified and/or aggregated before being used for improvement.
Account Deletion
If a user deletes their Stndby account:
their personal account information will be removed
their access to all events will be revoked
Historical event records may retain the user’s name and role in order to preserve the accuracy of event archives.

We reserve the right to update or change this Privacy Policy at any time. Any changes will be posted on this page, and the effective date will be updated accordingly. We encourage you to review this Privacy Policy periodically for any updates.
